How to Build an Instagram DM Response Workflow

A customer asks whether you have an opening on Friday. The important part is what happens after you answer: can someone check availability, confirm the right service and finish the booking? Use this workflow to give each conversation an owner and a next step.

Assign an owner and a reply window

List where messages arrive. Start with Instagram, then include website chat or any inbox that gets the same kinds of questions. Assign one owner and one backup for each shift or working window. Give both access to the same schedule and answer guide.

Set a reply window that matches your actual coverage. If you work weekdays, make the after-hours reply specific about when a person will see the message. If you run a campaign that sends people to DMs, check coverage before increasing spend.

Define the first reply by inquiry type

Group recent messages by what customers wanted: pricing, appointment availability, service suitability or help with an existing booking. Write a short reply outline for each. Answer the original question, ask for only the information you need, and offer one clear action.

  • Availability: ask for the preferred date and location, then offer two relevant slots if you can confirm them.
  • Pricing: share the approved price or range, explain what changes it, and ask which service they want.
  • Existing booking: confirm which information the team needs to find it and route the conversation securely.

Give every open conversation a status

Use a small set of statuses such as new, waiting for customer, waiting for team, booked and closed. Record who owns the next action. When you hand off a message, include the customer's question, what you already told them and what needs a decision.

Choose one follow-up rule for conversations that go quiet. For example, send a brief check-in while the requested appointment or offer is still relevant. Respect a customer's decision to stop the conversation.

Review a sample each week

Look at five to ten conversations across different inquiry types. Check whether the first reply answered the question, whether escalation happened when needed and whether the next step was clear. Track what your business can consistently count: qualified inquiries, handoffs and bookings. Read the messages behind the totals before changing the process.
