Six Rules for Better Customer Communication

A lead asks how much your service costs. A number answers the question, but the customer may still wonder what is included or whether the service fits. A useful reply gives them enough information to decide what to do next. These six rules work in Instagram DMs, website chat and email.

Answer the question the customer actually asked

If they ask for a price and you know it, share it in the first reply and say what it covers. If the price depends on scope, give the range you can stand behind and explain what changes it. The same applies to availability, delivery dates and service areas.

Ask one question that helps you understand their needs

Choose a question whose answer changes what you recommend. Someone asking about a website may need to accept bookings or simply explain their services. Ask which outcome matters most before you suggest a package. Use details they have already shared so they can build on the conversation.

Explain why the offer fits

Repeat the priority in plain language and tie it to something the customer receives. If they want people to book on mobile, show how the booking flow works on a phone. If you need to confirm a detail, tell the customer when you can get back to them.

Offer one next step

Make the next action easy to answer. For a quote, ask for the one detail you still need. For a booking, offer two available times. For example, “The consultation is $75 and includes a written plan. I have Tuesday at 2 p.m. or Thursday at 11 a.m. Does either time work?”

Follow up with something useful

If an inquiry goes quiet, use an agreed follow-up window while the offer is still relevant. Add context or answer a likely question. For example, “You mentioned you need this before the end of the month. I can confirm the timing once I know how many pages you need.” Give the customer room to decline or leave the conversation there.

Carry the context into a handoff

When a teammate takes over, pass along the customer's goal, what you quoted, what you promised and who owns the next action. The customer can then pick up the conversation without repeating their story. Review a few past threads to see where replies left a question unanswered or a next step unclear.
